Cancellation Policy

The cancellation and refund conditions below apply to short stays of 3 to 29 nights at the Garden & Hammam residence booked through direct online checkout. Institutional stays and other stays arranged through an enquiry and written proposal follow the cancellation conditions stated in that proposal. Guests are always shown the applicable cancellation conditions before committing to a booking.

A short-stay reservation may be cancelled free of charge, with a full refund of the amounts paid for the accommodation, when the cancellation is made at least 14 calendar days before the arrival date. The date on which CRONOTOPE receives the cancellation request determines which condition applies.

A cancellation made less than 14 calendar days before the arrival date, a no-show on the arrival date and an early departure before the end of the reserved stay are non-refundable. No refund of accommodation amounts already paid is due in these cases.

A change of dates may be requested until 14 calendar days before the arrival date and is confirmed subject to availability and to any difference in the applicable rate. A change requested less than 14 calendar days before arrival is treated as a cancellation of the original reservation combined with a new booking, unless CRONOTOPE expressly agrees otherwise in writing.

If CRONOTOPE has to cancel a reservation, the guest receives a full refund of the amounts paid for the stay.

Payments follow the written stay proposal. For short stays of 3 to 29 nights booked more than 14 days before arrival, 50% of the accommodation is requested at confirmation and 50% fourteen days before arrival; within 14 days of arrival, 100% of the accommodation is requested at confirmation. For extended stays of 30 to 90 nights, the first confirmed month is requested at confirmation, a one-month security deposit is due fourteen days before arrival, monthly accommodation is requested in advance, and a partial final period is confirmed manually. Longer stays of 91 nights or more follow individual terms for payment, tourist tax, deposit, cancellation and administrative matters. Payments are completed through CRONOTOPE’s secure payment provider. CRONOTOPE does not store complete payment-card details on its own systems. A security pre-authorisation of €500.00 is taken on the card around 48 hours before arrival; it is stated separately and is excluded from the accommodation amount, the tourist tax and the stay total.

Refunds are made to the original payment method used for the booking. When a refund is due, CRONOTOPE updates the booking status, records the refund reference and notifies the guest. The time a bank or payment provider may take to complete the transfer depends on the provider concerned.

Tourist tax is reconciled to the actual cancelled stay and to the applicable Brussels rules. Tourist tax is not retained for nights not stayed unless legally required to do so.

For extended stays of 30 to 90 nights, an early departure after arrival requires 30 days’ written notice; accommodation charges remain due through the notice period. Extended-stay cancellation conditions otherwise apply as communicated in the individual stay proposal.

As a separate disclosure from the commercial cancellation policy set out above: under Belgian and European consumer law, accommodation services reserved for a specific date or period may be excluded from the statutory right of withdrawal that otherwise applies to certain distance contracts. This concerns only the statutory withdrawal right and does not affect the cancellation and refund conditions set out in this policy. The applicable cancellation and withdrawal conditions are communicated clearly before a reservation becomes binding.
