CRONOTOPE BV is the data controller for personal data processed in connection with this website, enquiries and stays at CRONOTOPE.
Information we collect
We may collect personal information that you provide when contacting CRONOTOPE, requesting information or making an enquiry about a stay. This may include your name, email address, telephone number, requested dates, number of guests, preferred residence and information contained in your correspondence with us. When online reservations are introduced, we may additionally process information necessary to administer your reservation, payment, invoicing, check-in and stay. Please do not provide sensitive personal information unless it is necessary for us to respond to a specific request.
Where an organisation arranges a stay on behalf of a visiting guest, it may provide the necessary booking-contact, staying-guest, billing and institutional correspondence details for that stay. Collection is limited to what is necessary for booking, communication, billing, stay administration and legal obligations.
Why we use your information
We process personal information where necessary to: respond to enquiries; prepare, administer and perform reservations and stays; communicate with guests before, during and after a stay; process payments and invoices; provide requested residence services; comply with accounting, tax, security and other legal obligations; protect the security and legitimate interests of CRONOTOPE, its guests and property; improve the operation of the website and our services. Where processing is based on consent, consent may be withdrawn at any time.
Reservations and payments
When online booking and payment facilities are introduced, payment services may be provided by an independent payment provider. CRONOTOPE does not intend to store complete payment-card details on its own systems. Where a third-party payment provider is used, that provider processes payment information according to its own terms and privacy policy.
Third-party services
Certain optional services available during a stay may be provided by independent local partners, including laundry, dry-cleaning, food delivery or transport providers. Where a guest chooses to order and pay for such a service directly with the provider, that provider is responsible for its own processing of personal information. CRONOTOPE will only share information with a service provider where this is necessary to provide a service requested by the guest or where another lawful basis applies.
Website and technical providers
CRONOTOPE uses third-party technology providers to operate and maintain its website, communications and related digital services. Such providers may process limited technical information where necessary to provide their services.
Social media and external websites
The website may contain links to external websites and social-media services, including LinkedIn, Facebook and Instagram. Following such a link takes the visitor to a service operated by a third party. The privacy policy and terms of that third party then apply.
Embedded content
CRONOTOPE may in the future use third-party content such as YouTube video and Google Maps. Where legally required, such external content will not be activated until the visitor has made the appropriate privacy or cookie choice.
Retention
CRONOTOPE retains personal information only for as long as reasonably necessary for the purpose for which it was collected and for any additional period required by applicable accounting, tax or other legal obligations. General enquiries that do not result in a stay will not be retained indefinitely. Reservation, contractual and invoicing records may be retained for the periods required by Belgian law.
Your rights
Subject to applicable data-protection law, individuals may request access to their personal data and request its correction, deletion or restriction. They may also have rights to object to certain processing, request data portability and withdraw consent where processing is based on consent. Requests may be sent to stay@cronotope.com. Individuals also have the right to lodge a complaint with the Belgian Data Protection Authority.
Changes
This Privacy Policy may be updated as CRONOTOPE develops, particularly when online reservations, payments or additional digital services are introduced. The date of the most recent version will always appear at the top of this page.
